How to Generate Certificates from Excel in Bulk

When dozens or hundreds of people need the same certificate design, prepare one clean spreadsheet row per recipient and use those rows with a reusable template instead of typing every certificate manually.

Step 1: prepare one recipient per row

Use short, clear headers that match the information displayed on the certificate. For example:

Do not merge cells across recipient rows. Every row should contain all values required to create that recipient’s certificate.

Step 2: clean and check the spreadsheet

  • One record per row: do not place two recipients in one row.
  • Clear headers: use labels such as Name, Course, Achievement and Date.
  • Required values present: filter or scan for blank names, courses and dates.
  • Consistent display text: review capitalization, spacing, abbreviations and date format.
  • Duplicates reviewed: check a stable field such as recipient ID or email when available; matching names alone may represent different people.

Step 3: prepare the certificate template

Finalize the design before bulk generation. Decide where each spreadsheet field should appear and use the exact approved wording, logo and signatory details. Keep variable text areas large enough for longer names or course titles.

Use a small test batch first.

Long names, line breaks and date formats can change the visual result. Review representative short and long values before producing the full batch.

Step 5: review before distribution

  • Compare a sample PDF with its source row.
  • Check the longest name, course and achievement values.
  • Confirm dates and capitalization are displayed consistently.
  • Check for blank or duplicated recipient records.
  • Confirm the approved template wording and layout are unchanged.
