One checked row per student plus an approved admit-card template.
One personalized admit-card PDF for each spreadsheet row.
Step 1: prepare the student spreadsheet
Use one row for each student and one column for every field that appears on the admit card.

Add other approved fields only when the current template requires them. This guide does not assume photo, QR-code or barcode support.
Step 2: check required fields
- Every row has a student name and a unique, correctly formatted roll number.
- Class and exam names use consistent spelling.
- Exam Date and Reporting Time use one clear display format.
- No row is duplicated and no required cell is blank.
- Long student or exam names have been included in the test sample.
Keep identifiers as text when leading zeros matter. Review the saved Excel/CSV file after closing and reopening it so formatting surprises are found before generation.
Step 3: optionally organize the data
A single checked spreadsheet may be enough. If different classes or sections require separate review or separate templates, split a copy of the master file first.
- Follow Split Student Data Class-Wise or Section-Wise for the school-specific method.
- Use Excel Split when the grouping column is already clean.
- See the general split-by-column guide for output and CSV limitations.
Step 4: prepare the admit-card template
Finalize the approved layout, fixed exam instructions and the positions of the variable fields. Allow enough room for longer names, roll numbers and exam titles. Keep the spreadsheet headers clear so each value can be connected to the intended place in the template.
Use a small sample containing the longest name, an identifier with leading zeros, and representative date/time values before generating the full set.
Step 5: generate the personalized admit cards
Student rows and template ready?
Use DataToPDF’s current spreadsheet/CSV and template workflow to connect the approved fields, review a sample, and generate one personalized admit-card PDF for each row.
Generate Admit Cards with DataToPDF →Review the output before issuing it
- Student name, roll number and class match the source row.
- Exam, date and reporting time are visible and correct.
- Long values do not overlap fixed template content.
- No blank or duplicate student record has produced an admit card.
- The final sample follows the institute’s approved wording and layout.
